Donor Recognition and Events Coordinator

Coordinate donor recognition and produce events at a higher education institution. The role covers event planning, donor communications, recognition signage, records, budgets, marketing materials, and on-site and online event logistics.

Responsibilities

  • Plan and produce donor ceremonies, recognition events, and other special events, from concept through delivery.
  • Develop event concepts, written content, scripts, stage materials, and schedules.
  • Coordinate with internal departments, international friends' associations, and external suppliers.
  • Manage ongoing communications with friends' associations about donor recognition, including progress updates and post-event materials.
  • Manage donor recognition signage from wording and design through approvals, production, installation, inspection, and repairs.
  • Record and maintain accurate recognition information in SAP and department databases.
  • Share recognition updates with relevant institutional teams for communications and reporting.
  • Manage event budgets, purchase requests, quotes, supplier agreements, and budget tracking.
  • Produce invitations and marketing materials and manage mailing and participant registration systems.
  • Oversee event-day logistics, including technical arrangements, seating, catering, audiovisual equipment, signage, and gifts.
  • Guide speakers and senior guests before and during events.
  • Produce online and hybrid events, coordinating broadcast platforms and live-streaming technology.

Requirements

  • Academic education.
  • Native-level Hebrew and strong writing skills, including the ability to prepare formal content.
  • Very strong written and spoken English, including professional correspondence and content writing.
  • Proven experience independently organizing and producing large events.
  • Full proficiency in Microsoft Office.
  • Ability to manage multiple processes, stay organized, and meet tight deadlines.
  • Strong attention to detail, initiative, creativity, and interpersonal skills; able to work collaboratively across teams.
  • Willingness to work non-standard hours when events require it.

Nice to have

  • Experience working with donors, senior stakeholders, and international contacts.
  • Familiarity with CRM, registration, and email marketing systems.
  • Experience with SAP.
