Clinical Coordination Lead

Hands-on clinical coordination lead responsible for end-to-end participant recruitment, pipeline management, and site operations. Oversees a small team, drives KPI performance, and ensures a positive participant experience in clinical research studies. Based in Tel Aviv.

Responsibilities

  • Own participant recruitment end-to-end, managing the full participant journey.
  • Serve as primary point of contact for participants, ensuring positive experience and high completion rates.
  • Support study execution by coordinating participant activities, follow-ups, and ongoing engagement.
  • Execute recruitment and participant marketing strategy, translating it into day-to-day operations.
  • Maintain ongoing relationships with clinical partners to ensure alignment and steady participant flow.
  • Screen and qualify participants based on study criteria, ensuring eligibility and compliance.
  • Coordinate scheduling and lab capacity for efficient site operations.
  • Manage participant attendance and show rates through confirmations, reminders, and proactive follow-ups.
  • Ensure sensitive, professional, and compliant participant experience with clinical and healthy populations.
  • Operate and maintain CRM systems and workflows for high data accuracy and visibility.
  • Track and manage recruitment KPIs to drive continuous improvement in conversion and efficiency.
  • Lead and manage a small team of clinical coordinators, including oversight and performance tracking.

Requirements

  • 3–5+ years of experience in participant recruitment, clinical operations, or high-touch pipeline-driven roles.
  • Proven experience working with patients or participants in clinical, mental health, or sensitive environments.
  • Experience working with clinical partners and/or external stakeholders.
  • Strong execution and ownership mindset, with ability to drive participant follow-through and deliver against targets.
  • Experience managing end-to-end pipelines, including scheduling, coordination, and attendance management.
  • Comfortable working with KPIs and funnel performance, with track record of improving conversion and show rates.
  • Highly organized and detail-oriented, able to manage multiple workflows, stakeholders, and timelines.
  • Strong communication and interpersonal skills, with ability to build trust and engage participants effectively.

Nice to have

  • Experience managing or mentoring small teams.
  • Familiarity with participant marketing or lead generation.
  • Comfortable working in a fast-paced environment and building and refining processes in real time.
