Operations Lead – PMO Support

Lead operational and PMO support for physical security delivery managers, consolidating project progress, budgets, forecasts, risks, and dependencies. Manage procurement, vendor coordination, reporting, and process improvement. Support projects across data centers, warehouses, and offices.
Responsibilities
- Own and coordinate operational and PMO support processes across the global Physical Security organization.
- Maintain a consolidated view of all Physical Security projects, tracking progress, budgets, milestones, risks, and dependencies.
- Provide operational support to Delivery Managers, including reporting, documentation, budget tracking, and stakeholder coordination.
- Monitor project budgets, track expenditures, support forecasting, and escalate variances.
- Manage Purchase Orders (POs), invoices, and related financial processes.
- Coordinate with Finance, Procurement, and Legal on purchasing, contracts, and vendor onboarding.
- Manage vendor operational processes, maintaining visibility of deliverables, timelines, and performance.
- Develop and maintain common reporting tools, templates, and governance routines.
- Organize portfolio reviews and management meetings, tracking decisions and actions.
- Continuously improve operational processes, documentation, and procedures.
Requirements
- 3+ years of experience in Operations, PMO, Project Coordination, or similar role.
- Experience with budgets, procurement, and financial tracking.
- Experience coordinating across multiple teams and stakeholders.
- Strong organizational and multitasking skills.
- Excellent verbal and written communication skills.
- Comfortable working with Finance, Procurement, and Legal teams.
- Strong knowledge of Microsoft Excel and Microsoft 365.
- Self-driven, detail-oriented, able to manage multiple priorities.
- Experience using AI tools to improve productivity and automate tasks.
